Your information, explained clearly

Privacy policy

This policy explains what personal information Symuri collects, why we use it, when it may be shared, how artificial intelligence is involved, and the choices available to you. Symuri is a registered business name of Dropflo, Inc., an Ontario corporation (together, “Symuri,” “we,” “us,” or “our”).

The short version

We collect only the information needed to operate, secure, and improve Symuri. We do not sell personal information. Private coaching conversations, messages, and client notes are not used to train a public or general-purpose AI model without clear notice and consent.

1. Scope and current service status

This policy applies to the public Symuri website, early-access communications, and any Symuri web or mobile service that links to it. The public website currently presents the product and allows you to contact us; the platform features shown on the website are in development. Where this policy describes platform data, it explains how that information may be processed when those features become available. We will update this policy and provide any additional notices or choices required before materially different processing begins.

2. Information we collect

Depending on how you interact with Symuri, we may collect the following categories:

  • Contact and early-access information: your name, email address, type of coaching or content you create, and anything you include in a message to us.
  • Account and profile information: coach or client name, contact details, profile image, business information, preferences, and login or authentication records.
  • Offers, purchases, and payment metadata: offers purchased, price, currency, payment status, refunds, and related transaction identifiers. Card and bank credentials are processed by Stripe, PayPal, or another disclosed payment provider and are not intended to be stored by Symuri.
  • Bookings and delivery records: availability, appointments, reminders, attendance, call duration, sessions used or remaining, messaging-access periods, offer expiration dates, and delivery history.
  • Coaching communications and content: messages, Q&A submissions, voice notes, call-related text or transcripts when enabled, coach notes, client notes, AI-generated summaries, action items, and other content submitted through the service.
  • Creator content and search activity: connected YouTube channel information, public video titles, descriptions, captions or transcripts, search questions, returned timestamps, and interactions with search results.
  • Technical and usage information: IP address, browser and device type, approximate location derived from IP, requested pages, timestamps, referring pages, crash data, security events, and similar logs.
  • Support and feedback: correspondence, troubleshooting information, survey responses, and product feedback.

3. Where information comes from

We receive information directly from coaches, clients, and website visitors; from the coach or organization that invited a client; automatically from browsers and devices; and from services a user chooses to connect, such as Stripe, PayPal, Google, Microsoft, or YouTube. Coaches are responsible for having appropriate authority and consent before providing client information to Symuri.

4. How we use information

We may use personal information to:

  • provide accounts, storefronts, checkout routing, bookings, calls, messaging, voice notes, client portals, and delivery tracking;
  • show what a client purchased, what has been delivered, what remains, and when access expires;
  • generate AI summaries, organize client context, transcribe enabled content, and return relevant timestamped answers from a creator's connected content;
  • authenticate users, prevent fraud and abuse, maintain security, troubleshoot, and provide support;
  • send service messages, reminders, and communications requested by the user;
  • understand product performance and improve usability using aggregated, de-identified, or appropriately protected information where practical;
  • meet legal obligations, enforce our terms, resolve disputes, and protect users, Symuri, and others.

5. Artificial intelligence, summaries, and search

Symuri is designed to use AI to create separate coach and client summaries, preserve useful context from coaching interactions, support transcription when enabled, and search a creator's connected YouTube library for relevant, timestamped passages. To provide these features, relevant prompts and content—such as transcripts, messages, voice-note text, coach notes, video captions, and search questions—may be sent to AI, transcription, search, or infrastructure providers acting for Symuri.

  • AI outputs are generated from available content and may be incomplete or incorrect. Coaches and clients should review important summaries and notes.
  • AI summaries and search results are support tools. They do not provide medical, mental-health, legal, financial, or other regulated professional advice.
  • We do not sell private coaching content or use private coaching conversations, messages, or client notes to train a public or general-purpose AI model without clear notice and consent.
  • Where reasonably available, we use service-provider settings and contractual controls intended to limit providers to processing information to deliver the requested service.
  • We do not intend to make legal, employment, credit, healthcare, or similarly consequential decisions about people using automated AI output.

6. When we share information

We may disclose limited information to the following categories of recipients:

  • Coaches and clients: information is shared within the coaching relationship as needed to provide the purchased service. Coach-only notes will be identified separately from client-visible summaries.
  • Service providers: cloud hosting, security, authentication, communications, notifications, customer support, analytics, error monitoring, transcription, AI processing, and search infrastructure.
  • Connected services: Stripe or PayPal for payments; Google or Microsoft for calendars or sign-in; YouTube or Google APIs for connected creator content; and other services a user intentionally connects.
  • Professional and legal recipients: auditors, insurers, lawyers, accountants, regulators, courts, or law enforcement where reasonably necessary or legally required.
  • Business transactions: a potential or completed financing, merger, acquisition, restructuring, or sale, subject to appropriate confidentiality and legal requirements.

When you interact directly with a third-party service, that provider may also collect information under its own privacy policy. We do not control an independent provider's separate practices.

7. Coaches, clients, and responsibility for client data

A coach determines why client information is collected and how the coaching service is delivered. Symuri processes information to provide the tools selected by the coach and client. Coaches must give clients appropriate privacy notices, obtain any consent required for communications, transcription, AI summaries, or connected services, and honour client requests they are responsible for handling. Clients may contact their coach and may also contact Symuri about information processed through the platform.

8. Prohibited health and regulated-professional information

Do not submit regulated records

Symuri is for non-clinical, unregulated coaching and creator-led education. It is not authorized for protected health information, clinical or therapy records, diagnoses, treatment plans, social-work case files, or information that must be maintained under healthcare or regulated-professional recordkeeping laws. Symuri is not HIPAA compliant and is not represented as compliant with PHIPA or any equivalent health-record regime.

9. Cookies and similar technologies

Symuri and its hosting or security providers may use essential cookies, local storage, and similar technologies to keep the site working, remember preferences, maintain sessions, prevent abuse, and understand basic performance. If we introduce non-essential advertising or analytics technologies that require additional consent, we will provide an appropriate notice and choice.

10. International processing

Symuri is operated from Ontario, Canada. Service providers may process information in Canada, the United States, or other jurisdictions. Information processed outside your province or country may be subject to the laws and lawful access rules of that location. Where required, we use contractual or other measures intended to protect information transferred across borders.

11. Retention and deletion

We retain personal information only as long as reasonably necessary for the purposes described above, including providing the service, maintaining transaction and delivery records, resolving disputes, meeting legal obligations, and protecting security. Retention depends on the type of information and the relationship. When information is no longer required, we take reasonable steps to delete, anonymize, or securely dispose of it. Limited copies may remain temporarily in backups or where retention is legally required.

12. Security

We use administrative, technical, and organizational safeguards intended to protect personal information in proportion to its sensitivity. No online system is completely secure, and we cannot guarantee absolute security. Users should protect their credentials, devices, and connected accounts and notify us promptly of suspected unauthorized access.

13. Your choices and privacy rights

Subject to applicable law, you may ask to access, correct, or delete personal information; request information about how it has been used or disclosed; withdraw consent where processing relies on consent; or raise a privacy concern. Some requests may be limited by identity-verification needs, legal obligations, another person's rights, or information controlled by an independent coach. We will explain any material limitation that applies.

14. Children

Symuri is not directed to children. Coaches and other users must not submit a minor's personal information unless they have lawful authority and any consent required by applicable law. If you believe a child's information was provided improperly, contact us.

15. Changes to this policy

We may update this policy as Symuri develops, providers change, or legal requirements evolve. We will post the revised policy with a new “Last updated” date and provide a more prominent notice where a change materially affects how personal information is handled.

16. Contact and privacy complaints

Dropflo, Inc. is accountable for personal information under Symuri's control. Questions, access or correction requests, deletion requests, and privacy complaints can be sent to support@symuri.com. Please write “Privacy” in the subject line. We may need to verify your identity before completing a request.

Payments are processed directly into each coach's own Stripe or PayPal account. Symuri never holds or receives client funds, and charges no transaction fee.
